The real cost of a no-show
A missed appointment costs twice: the slot lost, and the customer you could have put in it. A colour in a salon blocks two hours, a table of four on a Saturday night makes the evening's takings, a missed trial session at a gym is a membership that will never be signed. The no-show is not an inevitable part of the trade: it is a communication problem, and it is dealt with as such.
The day-before reminder, the basic cure
The main cause of a missed appointment is plain forgetfulness. The day-before reminder, by SMS rather than email, sorts out most of the problem on its own. For appointments booked a long way ahead, a second reminder a few hours before makes the difference, especially for gym trial sessions, world champions of the no-show.
Two-way confirmation
A plain reminder informs; a confirmation commits. Asking for a reply (“reply YES to confirm”) changes the status of the slot: whoever confirms turns up, and whoever does not reply gives you a signal in time to react. That is the mechanism behind automated bookings and appointments: instant confirmation when the booking is made, a reminder the day before asking for confirmation, and an alert on the silent ones.
The waiting list that refills slots
A cancellation becomes painless when the slot resells itself. A driving school offers the freed lesson to waiting pupils who fit; a beauty salon refills the afternoon treatment; a restaurant reassigns the Saturday table. The first to accept takes the place, and the hour stays sold.
The deposit for large jobs
For a long package, a one-off dated service or a group, a deposit at booking is still the most honest filter: it only screens out the people who would not have come. The payment request goes out with the confirmation, and the balance is settled on site. Keep it for the slots where a cancellation really hurts.
