Where duplicates come from
An average business takes bookings by phone, by Instagram or WhatsApp message, sometimes through a platform, sometimes at the counter. Each channel has its own “memory”: the book, the app, the message inbox, the owner's head. As long as one person centralises everything, it holds. As soon as there are two active channels or two people writing things down, the memories diverge: the same slot booked twice, a cancellation recorded on one side but not the other, a customer written down on the wrong day.
The important point: this is not a discipline problem. It is mathematical. Several sources of truth always end up contradicting each other.
The single-flow principle
The solution fits in one sentence: every channel writes to the same place, and that place is the source of truth. In practice:
- Every request, wherever it comes from, is turned into one entry in a single queue (a calendar or a central schedule).
- Before accepting, the system checks real availability in that queue: a slot taken is taken, whatever the channel.
- The customer gets an automatic confirmation, and a reminder before the appointment to cut no-shows.
- A cancellation frees the slot everywhere, immediately.
The way you work does not change: the phone still rings, Instagram still gets messages. It is the machinery behind it that becomes unified.
