Automate the creation
and follow-up of quotes.

Automating quotes means answering every request faster and never letting a quote sit unanswered again. The document is prepared from the customer's details, goes out straight away, follows itself up, and turns into an invoice once accepted. You take back control where it counts: the pricing.

The real cost

The quote that arrives too late.

A prospect asking for a quote is hot now, not in five days. And writing a clean quote takes time: going through the lines, copying the prices, formatting, checking, sending. When the day is busy, it waits, and the customer has often asked elsewhere too. Whoever answers first with a clear document starts a length ahead.

The other leak is follow-through. A quote sent and then forgotten is a sale let slip for want of a follow-up. You tell yourself you will call back, you do not, and the quote is forgotten on both sides. Keeping track of who received what, who replied, who is waiting for a follow-up is work nobody has time for, and the conversion rate suffers.

What we automate

From costing to signature.

We automate the mechanical part of the quote, the part that eats time without adding anything. From a request (form, email, record), the system prepares the document with your line items, your prices and your formatting, ready to approve or send. Once it has gone out, it keeps an eye on it: it follows up at the right pace, tracks replies, and on the day it is accepted, it moves straight on to the invoice with no retyping.

You stay in charge of the price and the terms. The machine handles the wording and the follow-up, the judgement is yours.

  • Quote pre-filled from an enquiry, with your prices
  • Send straight away, or approve in one click first
  • Automatic follow-ups for as long as the client has not replied
  • Status up to date: sent, followed up, accepted, declined
  • Accepted quotes turned into invoices automatically
In concrete terms

An enquiry, a quote, a follow-up.

Here is the path of an enquiry, handled by a scenario built in n8n.

The trigger is a new enquiry: a prospect fills in your form or writes to you with what they need. The workflow picks up the details (service, quantity, contact information) and puts together a quote from your template, pulling the right prices from your rate card. If you want to check it first, it hands it to you for approval; otherwise it sends it straight to the client, in your name, and marks the status “sent” in your tracker. Then it waits. Three days with no answer, it sends a first polite follow-up; later, a second, more direct one. If the client accepts, the status moves to “accepted” and the invoice is generated without you retyping a line. If they decline, that is recorded too. The result: your quotes go out the same day, none is left without a follow-up, and you can see at a glance where every job stands, from first contact to invoice.
