Automate email sorting
and the qualification of enquiries.

Automating incoming emails means putting every message through a first, intelligent sort before it lands with you. The system reads, classifies, qualifies and routes: a quote request goes down the right path, a question gets an acknowledgement, an urgent message jumps out at you. Nothing gets lost, and you keep your time for what matters.

The real cost

The inbox that overflows.

A full inbox is a permanent mental load. You open it, you skim it, you put it off, you open it again, and the same message comes round five times before you deal with it. Everything is mixed together: a real customer request next to a newsletter, something urgent buried under ten messages that do not matter. Sorting this flow by hand, several times a day, is invisible work that breaks up the day.

And the real danger is what slips through. An important email skim-read then forgotten, a quote request that slides to the bottom of the pile, a customer left without an answer. These lapses cost business and damage the relationship: silence looks like indifference. The higher the volume, the more manual sorting becomes the weak link.

What we automate

The sorting that happens before you.

We automate the first filter on your inbox: reading, sorting and qualifying every incoming message. The system understands what an email is about, files it, puts the right label on it and triggers what comes next. A sales enquiry is routed; a routine message gets an acknowledgement; anything needing your attention is brought to the front. You no longer see an undifferentiated pile, but an ordered inbox.

We set the rules around your business: what is a priority, what waits, what triggers an action. You decide, the system does the groundwork.

  • Automatic reading and filing of every incoming email
  • Sorted as: quote, question, emergency, spam
  • Labelling and filing in the right folders
  • Immediate acknowledgement to reassure the sender
  • Highlighting what needs your attention
In concrete terms

An incoming email, routed.

Here is what happens to a message the moment it arrives, thanks to a scenario built in n8n.

The trigger is an incoming email: as soon as it arrives, the workflow starts. It reads the content and identifies what it is about. Then it acts. A quote request gets labelled “sales”, filed, an acknowledgement sent to the sender, flagged to you as a priority, and even passed on to your quote tracking. A routine question is filed and acknowledged without disturbing you. An urgent message is pushed up and you are alerted. Cold sales emails are set aside. Every time, the sender knows their message has arrived, and you open a sorted inbox. The result: nothing gets lost any more, every request gets at least an immediate acknowledgement, and you get the sorting time back.

Going further

Where the sorting leads.

Sorting requests only makes sense if the rest follows: a qualified request feeds automated creation and tracking of quotes, and a first contact can move on to booking and appointment reminders.
